CANCELLATION AND REFUND POLICY

At Hot Air Cappadocia Balloon, we understand that travel plans may change. For this reason, we aim to offer a fair, clear, and transparent cancellation and refund policy. Please read the terms below carefully.

1. Cancellation by the Customer

All cancellation requests must be submitted in writing by email or message. The cancellation will become effective on the date we receive your written request.

2. Daily Tours and Hot Air Balloon Flights

For daily tours and hot air balloon flights, cancellations made at least 24 hours before the scheduled service date are eligible for a full refund.

Cancellations made less than 24 hours before the scheduled service date, as well as no-shows, are non-refundable.

Please note that some special services or discounted promotional rates may be subject to separate cancellation terms, which will be clearly communicated at the time of booking.

3. Package Tours

For package tours, the following cancellation charges apply:

• 30 days or more before the tour departure date: Full refund, minus any non-refundable deposits, service fees, or supplier charges.
• Between 29 and 7 days before the tour departure date: 50% of the total tour cost will be retained as a cancellation fee.
• Within 7 days of the tour departure date: No refund will be provided.

4. Domestic Flight Tickets in Package Tours

If a package tour includes domestic flight tickets, those flight tickets are non-refundable once issued.

In such cases, the refundable amount for the package tour will be calculated after deducting the cost of the domestic flight ticket(s) and any related airline charges.

Please note that airline ticket rules are determined by the relevant airline, and any cancellation or amendment penalties imposed by the airline will be the responsibility of the customer.

5. Cancellation by Hot Air Cappadocia Balloon

In the unlikely event that Hot Air Cappadocia Balloon must cancel a service due to unforeseen circumstances, force majeure, operational reasons, or circumstances beyond our control, we will offer either:

• an alternative service, if available; or
• a full or partial refund, depending on the nature of the service and any non-refundable supplier costs already incurred.

6. Weather Conditions for Hot Air Balloon Flights

Hot air balloon flights are strictly subject to weather conditions and official flight approval.

If a balloon flight is cancelled due to weather conditions or official aviation restrictions, guests may be offered:

• a rescheduled flight for the next available day, subject to availability; or
• a full refund, if rescheduling is not possible.

7. Refund Processing

Approved refunds will be processed within 10 business days of receiving the cancellation request.

Refunds will be made using the same payment method used for the original booking, unless otherwise agreed.

Please note that our company cannot be held responsible for any differences caused by currency exchange fluctuations, bank processing charges, or intermediary payment fees.

8. Non-Refundable Items

Certain items may be non-refundable, including but not limited to:

• domestic or international flight tickets once issued,
• entrance tickets,
• permits,
• special event tickets,
• non-refundable deposits,
• third-party supplier charges.

Any such non-refundable items will be clearly communicated at the time of booking whenever applicable.

9. Travel Insurance

We strongly recommend that all guests purchase travel insurance to protect themselves against unexpected cancellations, travel interruptions, weather-related changes, or medical emergencies.
